Leadership Productivity Tips Video
Productivity is the main goal of every effective leader. – The main thing is I just want us to have a little bit of fun, really enjoy our time together today. So here’s what we’re gonna do. Here’s what you’re gonna learn today. I’m gonna talk a little bit about productivity. I’m going to talk about the time sucks of productivity. In other words, why do we not accomplish the things that we really are so intent on accomplishing?
And it’s really difficult sometimes to gain control of our own life, our own calendar because it seems like everybody’s pulling us in a different way than we ourselves wanna do. And so we’re gonna talk about that. I’m going to help you understand some of the things to look for so that you can increase your own personal productivity. And hopefully that will help you.
So as you come in, you got questions, please just put them in the comments section so that I’ll be able to follow along, and I’ll watch, myself, to see if there’s any questions. I kinda have to refresh the technology in order to see your questions, so maybe I don’t get to it right away, but if do, I want you to be aware that I’ll answer it. And if I don’t, I’ll get to it later.
Now, as we get into our topic of productivity, really what I wanna make sure that you do understand is that I want your success to be ever increasing so that you can achieve the life that you wanna lead. And I gotta tell ya, I have made so many mistakes along the way that I believe that I can help you if only because you can avoid all of the crazy things that I have done in my own career.
I don’t propose to know everything. I don’t think anybody does, but I’ve been a life-long learner, not just from things that have happened to me, my own experiences, but I’ve also reached out to other experts to really get their ideas.

Productivity
Okay, now, enough of that. Let’s talk a little bit about productivity. And one of the things about productivity that really surprises me is that we think that we’re in control most of the time, and what I’ve learned is that we’re never in control, and we truly try to overbook or over-schedule and set our expectations for personal accomplishment unrealistically.
Now, here’s one of my favorite ones. Yesterday we were gonna do a live conversation, and guess what? The technology didn’t work. And it was so funny that the technology didn’t work because what I was gonna talk about in lost productivity is how technology, which is supposed to improve our lives and give us more time back in order to be able to do things that make us more productive, have more fun lives, has more time to spend with our family, that technology’s supposed to help us, but often times, the technology fails.
Example 2
And let me give you another example. Obviously we couldn’t do a Facebook Live yesterday because we had the technology problem, so we’re doing it today. We’re gonna do another one tomorrow. I intend to try to do these Tuesdays, Wednesdays and Thursdays, so I hope you’ll join me.
But the technology that I’m talking about that I tend to find all the time is that how many times have you gone in and you’ve booted up your computer, and the first thing that you were given as a notice from your computer is that, hey, you’ve got a bunch of updates that you have to install? And you don’t really have a choice. You’ve gotta put the updates into play because your computer keeps nagging you to death that you gotta get it done.
Now, if you’re like most of us, very few people had it on their agenda when they walk in and booted up their computer that they were gonna waste 10 to 15, maybe 20 minutes updating all of the software on their computer. And so you wind up wasting time there, and you’re now 15 minutes behind from your original great schedule that you spent a lot of time the prior night making sure you were ready to roll when you walked in the door, and your technology slaps you beside the head and said, no, you’re not gonna do that. And that kind of stuff just bugs me to death because I am a technology freak.
Technology Can Be Frustrating
I mean, I love technology. I use it all the time, and I have, by the way, in the Resource Kit that I showed you and talked to you about, I’ve got some of my favorite technology that will help you in your career. However, when you use technology, one of the downsides to technology is that yeah, you can improve, but the real issue is that all of that technology is being updated continuously. So it may not just be your Windows computer that has to be upgraded. It may be that the software that you love and you love to use has to do an upgrade, as well.
And so I have noted this for well over 30 years because I’ve been involved from the beginning where computers really became a part of our everyday life, and we can’t do without them. We need our phones. We need our computers. Our smartphones, I should say. We need all of those things, but they take time to keep running at maximum speed, and so here’s what I learned to do, and I wanna pass this tip on today for you to do.
What I’ve done is that I travel a lot, as well. It’s not just that I have to have my computer at work ready to go. I also have to have the computer that I use when I travel ready to go.
Are you Ready
So what I started doing is that I actually started scheduling time on my calendar to make sure that I did all of the updates that I needed to get done. I actually set up a time in my calendar that says I’m gonna go into my technology, and I’m going to go manually click the Updates button and go ahead and install everything and update it then.
Now, I can’t tell you how many hours of time that has saved me over the last year alone by doing this because when you don’t expect it, that’s when it’s more frustrating. You know, how many of you have ever gone to do a presentation? I do a lot of presentations, do a lot of training, a lot of speaking. And you go to do your presentation and your computer says that you gotta go through all the updates, and you got a bunch of people waiting for you to get started. I gotta tell you, that’s frustrating and irritating, and I determined a long time ago that I wasn’t gonna allow that, so what I’ve done is made that a proactive part of my planning.
So Much Wasted Time
And I promise you if you get to the point where you’re doing this type of thing, you’re gonna find you’re gonna save 10 minutes here, 10 minutes there, 15 minutes there, and before long, it really adds up. The thing I like best though is that it reduces my stress ’cause I don’t worry about it now. I know that I’m going to have a system that’s ready to go whenever I’m ready to go. And yeah, sometimes things happen, but the point is not for those things that you know are totally outta the box. You know without a doubt you’re gonna have to run updates and upgrades, so why not be proactive about it?
Why now go ahead and put it into your everyday work? A great leader’s always supposed to be ahead of the game. You see, most people thing leadership is being responsive, meaning, okay, I got a problem, you brought a problem to me, and now I gotta respond to it, and so therefore, how do I respond to it? How do I make things work? And if your doing that, then what you’re doing is that you become just an answer man or answer girl. I mean, why do you wanna do that? Why do you wanna be the answer man, answer woman? Why do you wanna be just the person that responds?
Instead, a leader should be out front, being ahead of things, trying to be proactive to solve problems before they occur. That’s how you get more productivity out of your team, as well as yourself. My example of technology is just one of those examples.
Tip #2
And speaking of productivity, my second tip is what do you doing in order to keep track of all your notes and to be able to proactively know what’s going on in your team? Now, I happen to love Evernote. I recommend it. I use it a lot, but I’ll tell you, some people don’t want to use technology that take their notes.
I’ll bet you know the people. You go into a meeting, and these people have got a spiral binder, and they write down everything manually in that binder. As a matter of fact, a lot of people today are doing things like a bullet journal and other things, what I would’ve called back many years ago a day timer, and they’re taking all their notes and plans there.
Is one better than the other? I don’t think so except for one single thing, and that is that if I’m doing it electronically, I can also set up an electronic reminder, and for me, I need those electronic reminders because that helps me keep control of my schedule and my day.
Whereas, if I’m doing it manually, it’s real easy for me to ignore that manual book that’s lying in my brief case or on the shelf. I mean, I may not even look at it. So technology has the ability to bug me whenever I need it to bug me.
